5 Questions to Ask Before Booking a Corporate Event Venue

5 min read

If you're an Executive Assistant or Office Manager, you probably already know that planning a corporate holiday party or end-of-year event sounds easier than it actually is.

Someone needs to find the venue. Then there's the guest list, catering, room setup, technology, entertainment, parking, invitations, budget, and about 20 other details that somehow end up on your desk.

And because you're often coordinating the event while managing your regular responsibilities, the last thing you need is a venue that creates more work.

Before you sign a contract or put down a deposit, there are a few important questions you should ask. Getting the answers upfront can save you time, money, and a lot of stress later.

1. What's Actually Included in the Venue Rental?

Don't assume the room rental includes everything you'll need.

Ask exactly what comes with your booking and what will cost extra. Depending on the type of corporate event you're planning, you may need tables and chairs, AV equipment, Wi-Fi, microphones, screens, catering, room setup, cleanup, or on-site support.

It's also worth asking whether there are additional fees for things like:

  • Room setup and breakdown

  • Audio and visual equipment

  • Additional staffing

  • Cater of your choice

  • Extended hours

  • Cleaning

  • Furniture or specialty setups

  • Technology support

A venue that looks inexpensive at first can become much more expensive once you start adding everything your event requires.

The goal isn't necessarily to find the cheapest corporate event venue. It's to understand the total cost and value before making a decision.

2. Will Someone Actually Help Me on the Day of the Event?

This may be one of the most important questions for an Executive Assistant or Office Manager.

You don't want to spend the first hour of your company's holiday party fixing the microphone, rearranging tables, figuring out the presentation system, or tracking down the catering team.

Ask the venue:

Who is responsible for the event once we arrive?

At MeetArrive, every meeting and event includes an on-site host who can assist with planning before the day,  room setup, technology, catering, and day-of needs.

That means the person who organized the event doesn't have to become the person running the event.

For busy EAs and Office Managers, that's a major difference.

Your job should be to welcome guests, make sure your leadership team is taken care of, and enjoy the event—not troubleshoot the venue.

3. Can the Space Accommodate the Way We Actually Want to Use It?

Guest count is important, but it's not the only consideration.

Think about what you actually want people to do once they're in the room.

Are you hosting a formal dinner? A cocktail reception? An employee appreciation event? A year-end presentation followed by drinks and networking? A team celebration with activities?

The layout needs to support the experience you're trying to create.

MeetArrive offers a variety of intentionally designed spaces for  meetings or events in downtown Toronto designed for different group sizes and formats. Its specialty spaces can accommodate larger gatherings, including event and lecture-style setups for up to 100 guests, while other rooms are better suited for smaller groups for traditional corporate meetings and more interactive experiences.

Before booking, ask to see the space and think through the event from your guests' perspective.

Where will they enter?

Where will food and drinks be served?

Where will people sit?

Where will presentations happen?

Where will employees naturally gather and network?

A good venue should make those questions easy to answer.

4. Can the Venue Handle the Food, Technology, and Other Details?

Corporate events usually involve more than just a room.

Food and beverage, presentations, entertainment, microphones, music, video, and other event details can quickly turn into a coordination headache.

Ask your venue what they can handle directly and what you'll need to coordinate yourself.

For example:

  • Is catering available?

  • Can they accommodate dietary restrictions?

  • Is Wi-Fi included?

  • Are screens and presentation equipment available?

  • Are microphones available?

  • Is there support for hybrid presentations?

  • Who handles setup?

  • Who handles cleanup?

  • Is there someone available if something goes wrong?

MeetArrive facilitates all catering options, high-speed internet, presentation technology, collaboration tools, and other meeting amenities depending on the space and event requirements.

The more of these details your venue can help coordinate, the fewer vendors and moving parts you'll have to manage.

And when you're already juggling your day-to-day responsibilities, fewer moving parts can make a big difference.

5. What Happens If Something Goes Wrong?

This is the question most people forget to ask.

Everything looks great when you're touring a venue. But what happens when the presentation won't connect? Or the room needs to be rearranged? Or the catering arrives early? Or a speaker needs something at the last minute?

Ask who your point of contact will be and whether someone will actually be there to help.

This is particularly important for board meetings, all day events, corporate holiday parties and end-of-year events because they often involve executives, clients, employees, or other important guests.

You don't want to be the only person who knows how everything works.

At MeetArrive, an on-site host is available to help manage the details throughout your event, giving the organizer a resource they can rely on when something needs attention.

Why These Questions Matter Even More During Q4

If you're planning a corporate holiday party or end-of-year event, you're probably not the only person looking for a venue.

Q4 is one of the busiest times of the year for event spaces. Companies are booking holiday parties, employee celebrations, leadership meetings, client events, and year-end gatherings.

That means the dates and spaces you actually want can disappear quickly.

Waiting also creates another problem: the longer you wait, the more likely you are to have to compromise.

Maybe your first-choice date isn't available.

Maybe the room isn't large enough.

Maybe the venue doesn't offer the catering options you need.

Maybe you're left coordinating multiple vendors because the venue doesn't provide the support you expected.

Booking earlier gives you more options and more time to work through the details.

A Corporate Event Venue Should Make Your Job Easier

For Executive Assistants and Office Managers, the best corporate event venue isn't necessarily the one with the most impressive room.

It's the one that makes your job easier.

You want a venue where you know what you're paying for, the space works for your group, the technology is reliable, the food and beverage details are manageable, and someone is available to help when you need it.

That's the experience MeetArrive is designed to provide.

Located at 150 York Street in downtown Toronto, MeetArrive offers flexible meeting and event spaces for corporate gatherings, holiday parties, team events, leadership meetings, and more.

The spaces are designed around MeetArrive's meeting-science approach, which focuses on how the environment can influence communication, collaboration, engagement, and productivity.

And with an on-site host supporting your event, you don't have to carry every logistical detail yourself.

Planning Your Corporate Holiday Party?

If your company's holiday party or end-of-year event isn't booked yet, now is the time to start looking.

Before choosing a venue, ask these five questions:

  1. What's actually included in the venue rental?

  2. Will someone help me on the day of the event?

  3. Can the space accommodate how we actually want to use it?

  4. Can the venue handle food, technology, and other event details?

  5. What happens if something goes wrong?

The right answers can save you from a lot of unnecessary work—and make the event itself much more enjoyable.
